Clean your PMS data before patient reactivation

Better conversations cannot rescue a bad list. Clean the patient cohort, attach the practice’s rules, and test the workflow on a small batch before scaling outreach.

Prepare a safer, more useful outreach cohort by fixing duplicates, exclusions, contact details, scheduling rules, and ownership before the first call.

Define the cohort in plain language

Example: active patients who are 30 to 180 days overdue for recare, not currently booked, with a valid permitted contact channel.

Write the rule before running the report. If the team cannot explain why a record belongs, the cohort needs another review.

Remove avoidable errors

  • Duplicate patient records
  • Already-booked appointments
  • Invalid or reassigned numbers
  • Opt-outs and DNC records
  • Discharged or otherwise ineligible patients
  • Records with unresolved clinical or account flags

Attach the rules needed to book

  • Eligible appointment types
  • Provider and location constraints
  • Visit length
  • Available scheduling windows
  • Approved routine answers
  • Escalation contacts
  • Quiet hours and contact limits

Test, review, then expand

Start with a small batch and inspect contact accuracy, patient reactions, schedule fit, handoffs, and documentation. The goal of the test is to find process errors while they are still small.
