How to build a dental recall system that gets finished

A recall list is only useful when every eligible patient has a clear next action. Build the queue, ownership, contact rules, and booking workflow before adding more reminders.

A practical operating system for finding overdue patients, assigning ownership, running follow-up, and booking recare into the live schedule.

Start with one eligible cohort

Define exactly who belongs in the queue: due or overdue for recare, still active with the practice, reachable through an approved channel, and not already booked. A broad export creates avoidable mistakes before outreach begins.

The ADA recommends using practice-management software to run monthly overdue-patient reports and designating someone to contact those patients. The report is the starting point, not the whole system.

Give every record an owner and next action

If a patient can sit between statuses, the list will slowly become unreliable. Ownership means someone or something is responsible for moving each eligible record to a documented outcome.

  • Ready for first contact
  • Callback requested for a specific date
  • Waiting for the patient to check availability
  • Booked into the schedule
  • Escalated to the practice team
  • Opted out or no longer eligible

Connect the conversation to the live schedule

A reminder that ends with ‘call us’ returns work to the front desk. A complete recall workflow can answer routine scheduling questions, offer appropriate available times, and reserve the appointment while the patient is engaged.

Clinical, financial, and unusual questions should move to a person. Automation should reduce queue work without improvising answers outside approved practice rules.

Review completion, not activity

Calls made is an activity measure. A finished queue shows what happened to every eligible patient and what still requires action.
